Costs that are easy to miss
- Workers’ compensation insurance: required in almost every state; premiums depend on job classification and can be under 1% of payroll for office work and much more for construction.
- Recruiting and onboarding: job ads, recruiter fees, background checks and the weeks before a new hire is fully productive.
- Equipment and software: laptop, licences, desk or home-office stipend.
- Payroll and HR software: per-employee monthly fees.
- Paid leave: holidays and vacation are already inside salary but reduce hours worked, which is why BLS reports costs per hour worked.
The “1.25 to 1.4 times salary” rule of thumb
Small businesses often budget an employee at 1.25–1.4× salary. The BLS figures support the upper end for employers offering typical benefits: total compensation of $46.89 against $32.82 in wages is 1.43×. A lean employer with no health plan may be closer to 1.1×. Use your own benefit costs rather than a rule of thumb when you can.
